Services
Document and back-office checking so people only see the exceptions.
Invoices, orders, forms and records arrive as PDFs, photos and emails. We build the system that reads them, checks them against your own rules and records, and sends only the exceptions to a person. Anything that moves money or changes a record waits for human approval.
Problem
Someone retypes it. Someone checks it.
In many offices the same details are typed three times: from the PDF into a sheet, from the sheet into the accounting tool, and from an email into a form. Then someone checks the numbers by eye and hopes nothing slipped through.
Buying another tool does not fix that, because the real work is the checking: does this invoice match the order, is this document complete, does this record agree with the last one.
The useful version reads the document, checks it against your rules in plain code, and shows a person only what does not match.
- Invoices and PDFs retyped into sheets or accounting tools
- Documents checked by eye against a list
- Mismatches found late, after the money moved
- Missing items chased by hand
Who
Who this is for.
Teams whose day is paperwork that has to be right.
-
01
Accounts and operations teams
Supplier invoices and orders retyped and matched by hand. We prepare the draft; a person approves it.
-
02
Education and consultancies
Student documents and forms checked against a requirements list, with missing items flagged and a message drafted.
-
03
Trades, logistics and home services
Quotes, job documents and delivery notes matched to the job and the invoice.
-
04
Stores and suppliers
Supplier documents, returns and stock records checked against orders and policy.
Examples
What this looks like in practice.
Scenarios, not invented case studies. One loop at a time.
-
Invoice to draft entry
A PDF invoice arrives. The system reads supplier, number, date and lines, checks them against the order, and prepares a draft for a person to approve. Mismatches are flagged with the exact difference. More on the invoice processing page.
-
Documents checked against a list
A form and its attachments are checked against your requirements. Missing or unclear items are flagged and a message asking for them is drafted for approval.
-
Orders and delivery notes matched
Quantities and totals on the order, the delivery note and the invoice are compared. Only the lines that disagree reach a person.
-
Returns checked against policy
Return requests are checked against your policy and order data. Straightforward ones are prepared for approval; unusual ones go to a person.
Process
How the work runs.
Nothing that moves money is final without a person. The first delivery is one document flow done reliably.
-
01
Map the flow
We follow three real documents from arrival to the books, and write down every check a person does today.
-
02
Write the rules
Your checks become fixed rules in plain code. The AI reads the document; the rules decide what matches.
-
03
Wire and test
Email, folders, accounting tool and sheets. We test blurry, partial and wrong documents before anyone relies on it.
-
04
Launch with approval
Matches become drafts, mismatches become an exceptions list, and a person approves. Optional monthly care, no lock-in.

Outcomes
What changes when it ships.
-
01
Hours back each week
The retyping and eye-checking leave the team. People handle the exceptions.
-
02
Mistakes found early
A mismatch is flagged when the document arrives, not after the payment.
-
03
Nothing moves money alone
Every draft waits for human approval before it reaches your books.
-
04
A record of what happened
Each document, check and approval is logged, so you can see who approved what.
